Privacy Policy
Petrogenium B.V. respects your privacy. Therefore, and for reason of providing full transparency, Petrogenium has formulated and implemented a policy with regard to the processing of personal data, its purpose and the opportunities for those involved to exercise their rights as effectively as possible.
The privacy policy provided to you is the only version that applies until a new version replaces the current version.
Article 1 – Legal provisions
Responsible for the processing of personal data: Petrogenium B.V., having office at A. Hofmanweg 5a, 2031 BH Haarlem, The Netherlands, KVK-number: 62526111. Hereinafter referred to as: “Petrogenium”. Petrogenium is the controller (as referred to in the General Data Protection Regulation (“GDPR”)) with respect to the personal data it processes.
Article 2 – Processing of personal data
This privacy statement is applicable to the processing of personal data by Petrogenium. Petrogenium processes personal data of clients, potential clients, relations, suppliers, applicants for employment, recipients of its communications. Petrogenium processes the following categories of personal data:
(a) name, address, town/city;
(b) phone number, e-mail address;
(c) information contained in its files; and
(d) other personal data provided by you, such as resumes.
In order to be able to process your personal data, the GDPR requires the processing to be based on a legal basis. In the case of Petrogenium this is – depending on the specific personal data – on the basis of entering into and executing agreements with its clients and suppliers, a legal obligation (see article 6), a legitimate interest or consent. If the processing is based on your consent, you can withdraw such consent at any time, without affecting the lawfulness of processing based on consent before the withdrawal.
Article 3 – Purpose of the processing
Petrogenium does not simply collect your personal data. Depending on the situation, Petrogenium processes personal data for providing its services to its clients, maintaining relationships, recruitment and selection purposes, organizing events, sending commercial offers and invitations for events, improving its services and complying with laws and regulations.
Article 4 – Your rights with respect to your data
1. Pursuant to article 13 (2) (b) GDPR, in the circumstances described in the GDPR you have the right to request Petrogenium access to and rectification or erasure of your personal data or request Petrogenium restriction of processing concerning your personal data. You also have the right to object to processing concerning your personal data as well the right to data portability in the cases provided for in the GDPR. You can exercise these rights by contacting Petrogenium via data.protection at petrogenium.com.
2. On each request you must have signed your signature and quote the contact details to which you may be contacted. Petrogenium may verify your identity in the most appropriate manner (with the least possible privacy impact) given the situation. Within one month of the request submitted, you will receive an answer to your request. Depending on the complexity of the requests and the number of requests, this period may be extended by two months if necessary, provided Petrogenium has let you know within one month of the request submitted that the substantive response will take longer and why.
Article 5 – Legal obligations
In the event of a violation of any laws or regulations which you are suspected of and for which the authorities (such as the tax authorities, the police or the supervisory authority) require personal data collected by Petrogenium, this data may be provided to the authorities following an explicit and motivated request. The use of such data by the authorities will no longer be covered by the protection of the provisions of this privacy policy.
Article 6 – Commercial offers
1. You may receive commercial offers from Petrogenium if you have given permission to do so. If you do not wish to receive such offers (anymore), please send an e-mail to the following address: data.protection at petrogenium.com.
2. Your data will not be used by Petrogenium’s partners for commercial purposes.
Article 7 – Storage period data
Petrogenium does not keep your personal data longer than necessary for the purposes for which Petrogenium uses your personal data. Petrogenium is required by law to keep some data for a certain period of time. For example, if you no longer receive Petrogenium’s services, Petrogenium may be required to keep certain personal data for its records.
Article 8 – Provision of personal data to third parties
In order to be of service to you and to carry out Petrogenium’s work, Petrogenium engages other parties to process personal data on its behalf, such as an IT service provider that supports Petrogenium in its work. If a third party processes personal data on behalf of Petrogenium, it will – if necessary – conclude a written processing agreement with these so-called processors that complies with the GDPR.
Article 9 – Processing of personal data outside the European Economic Area
Petrogenium processes your data within the European Economic Area and in USA. If Petrogenium engages processors, it requires that they store personal data on servers in the European Economic Area. To the extent that this is not possible, Petrogenium takes the necessary measures to provide an adequate level of protection for the protection of your personal data.

Article 11 – Applicable law
This policy is issued in English. In the event of discrepancies or ambiguity between the English text and the text in any other language, the English text shall prevail. This policy is governed by Dutch law. The competent court of the place of establishment of Petrogenium shall have exclusive jurisdiction in the event of any disputes concerning this policy, except where a legal exception applies.
